Appointment scheduling software for busy clinics

One calendar for the whole clinic, a booking link patients can use themselves, and reminders that go out without anyone remembering to send them.

Quick answer

NxaCare appointment scheduling replaces paper registers and phone-only booking with one shared calendar across every provider. It flags conflicts as you book, gives patients a self-booking link on every plan, and sends automated email confirmations and reminders before each visit. It runs in any browser, so reception, doctors and patients all see the same availability.

Key facts

  • One calendar view across every provider in the clinic
  • Double-booking conflicts flagged at the moment of booking
  • Patient self-booking portal included on all three plans
  • Automated email confirmations and reminders before each visit
  • You choose which providers, services and time windows are bookable online
  • Browser-based — no app to install for staff or patients

Why scheduling is the first thing to fix

In most independent clinics the appointment book is the bottleneck that everything else queues behind. A patient calls, the receptionist checks a register for one doctor, then a second register for another, then a WhatsApp thread to see whether a slot was already promised. Every one of those lookups is a chance to double-book, and every double-booking costs the clinic a waiting room argument.

Missed appointments are the other half of the problem. A slot booked three weeks ago and never confirmed is a slot that frequently goes empty — and an empty slot in an outpatient clinic is revenue that cannot be recovered later in the day. Reminders solve a surprising amount of that, but only if they send themselves.

Scheduling is also where most patients form their first impression of a practice. A booking link that works at 11pm is a different experience from a phone that rings out during clinic hours.

Who this is for

  • Clinics running more than one provider

The moment a second doctor shares the same reception desk, separate registers stop working. A unified calendar is the point of the exercise.

  • Practices losing slots to no-shows

If your front desk is calling patients the day before to confirm, that work can be automated and the staff time spent on people who are actually in the building.

  • Clinics whose patients expect to book online

Younger patients increasingly will not call. A self-booking link captures the appointments a phone line quietly loses after hours.

How it works

  1. Set your providers and hours

Add each doctor, their consulting hours and the services they offer. This is the availability everything else is calculated from.

  2. Open the slots you want bookable online

From Settings → Booking, choose which providers, services and time windows patients can book themselves. Everything else stays reception-only.

  3. Share the booking link

Put it on your existing website, your Google Business Profile or a WhatsApp broadcast. Patients pick a provider and a genuinely free slot; the calendar updates immediately.

  4. Reminders and confirmations send themselves

Confirmation goes out on booking, a reminder goes out before the visit. Both by email, both automatic.

  5. Reception works one screen

Walk-ins, phone bookings and online bookings all land in the same calendar, so there is one place to look and one place to change things.

What you get

No cross-checking registers
One view shows the whole clinic, filtered by provider when you need it.
Conflicts caught at booking time
The clash is flagged while the patient is still on the phone, not discovered in the waiting room.
Bookings after hours
The self-booking portal takes appointments while the clinic is closed.
Reminders that never get forgotten
Automated email reminders fire on schedule regardless of how busy the front desk is.
Appointments joined to the record
Each appointment sits against the patient chart, so history, prescriptions and payments are one click away.

What to expect

  • Setup of providers, hours and bookable services during onboarding, which most clinics complete inside 48–72 hours.
  • Your existing upcoming appointments migrated with help from the NxaCare team.
  • A booking link you can share immediately and embed on the site you already have.
  • Reception staff comfortable with the calendar after a short walkthrough — there is no week-long training programme.

Why clinics choose NxaCare for this

  • Self-booking is on every plan, including Starter, rather than being reserved for the expensive tier.
  • The calendar is part of the same system as records and billing, so an appointment carries context instead of being an isolated entry.
  • Onboarding includes migrating your current appointment book — you do not start from an empty calendar.

What this does not cover

Stated plainly, so you can rule NxaCare out quickly if one of these is a requirement rather than discovering it three weeks into a trial.

  • Reminders are delivered by email. WhatsApp is used for patient sign-in codes and guest-booking verification, not for appointment reminders, and SMS is not supported.
  • There is no two-way sync with Google, Outlook or Apple Calendar today. It is on the roadmap and not available now.
  • Waitlists and automatic slot backfill are not built yet, so a cancelled slot has to be re-offered manually.

Frequently asked questions

Yes, on every plan. The self-booking portal shows genuinely available slots for the providers and services you have opened online, and the patient gets an automatic email confirmation. You control what is bookable from Settings → Booking.
