Why a shared login is a liability, not a shortcut

A single clinic login shared by six people feels efficient until something goes wrong. An appointment was moved and nobody knows by whom. An invoice was edited after it was issued. A patient record was opened by someone who had no reason to open it. With one account, none of those questions have answers.

This is also a data-protection question rather than only an internal-trust one. Handling patient data under India’s DPDPA — and under HIPAA-aligned practice generally — assumes you can show who accessed what. An audit trail is the mechanism that makes that showable, and an audit trail attached to a shared account records nothing useful.

The practical benefit is smaller and more immediate: role-based views mean the receptionist is not scrolling past clinical notes to find a phone number, and a doctor is not navigating billing settings to reach today’s list.
